Event Promotion

For virtual events, we recommend promotion begins two-four weeks prior to the event date. For in-person or hybrid events, we recommend promotion begins four-six weeks prior to the event date.

Events may be promoted within the SOPH Employee Newsletter, the Get a Handle Student Newsletter, unit newsletters within the SOPH, on the media screens in the Ryals Building, on the white boards on the first and fourth floors of Ryals and/or on social media. Placement for event promotion is at the discretion of the SOPH Communications Team.

All hybrid and virtual events require registration for the virtual portion of the event, rather than providing a meeting ID or publicly accessible link in your event promotion. Registration can be collected through Qualtrics, Microsoft Forms, or by using a Zoom registration. This ensures security of your virtual event, clarity on how attendees may join your event virtually, and a method to collect RSVPs.

Note: Make sure that your digital advertisement is 1080px by 1920px and is in .png or .jpg format. If your ad is the incorrect size it will not be displayed on the screens.

*REMINDER: If you are an employee or student in the School of Public Health, please create an Outlook calendar event on your personal calendar, and invite sophevents@uab.edu to place a hold on the internal sophevents shared calendar. This will inform the SOPH Events Roundtable group of your date and time and help to avoid conflicting school events. For instructions on how to view or invite events to this shared calendar, contact sophcomm@uab.edu. The internal sophevents@uab.edu calendar is separate from the UAB campus calendar.
