How do I hire a full-time faculty member?

How do I hire a Credentialed Course Instructor?
To hire a Credentialed Course Instructor (CCI), please use the 04 Adjunct Faculty and Credentialed Course Instructor Hiring Checklist for process details. The Credentialed Course Instructor offer letter templates must be used for CCI hires. Additionally, a checklist for processing CCI and 04 Adjunct Faculty Oracle ACT documents is provided for you.

How does the Form I-9 (Employment Eligibility Verification) get processed for my new full-time faculty hire?
UAB uses the electronic I-9 process using the LawLogix or Guardian system. Please contact UAB Human Resources for details. Additionally, each academic unit has an I-9 point-of-contact in their unit who is responsible for managing the Form I-9 process. This person(s) are responsible for initiating the I-9 process and completing Part 2.

How does a new faculty hire, CCI or adjunct get a BlazerID and email account?
UAB uses an auto-generated BlazerID process to create a BlazerID and password for new faculty, adjuncts and CCIs who are external to UAB. The UAB PeopleAdmin Hiring Proposal feeds the new hire data to the university’s Identity Management Team so that the BlazerID can be generated. The faculty member receives an email notifying them to “claim” their BlazerID. For additional information, please visit

What is the process for getting a background check for faculty, adjunct faculty and Credentialed Course Instructors?
For full-time (01) and part-time (03) faculty hires, as well as adjunct faculty (04) and Credentialed Course Instructors, the background check process is managed through UAB PeopleAdmin. The UAB Faculty Background Check Coordinator (UAB Human Resources) oversees the process which initiates from UAB PeopleAdmin.
For Volunteer Faculty, background check requests must be submitted using the UAB Voluntary Faculty Background Check (BCR) Requests App.

How do I add a new faculty hire, CCI and adjunct faculty to the university’s HR System (Oracle)?
Oracle is the university’s HR system, and each new hire (faculty, CCIs and Adjunct Faculty) must have an ACT (Appointment, Change, Termination) Document submitted and routed for approval using Oracle. Login through the Admin Systems Portal, but confirm that you have HR Responsibility in Oracle before you attempt to complete this step.

How do I create or establish a faculty member’s faculty appointment in Oracle, UAB Faculty Profiles?
Faculty appointment data is managed in part by a tool called the UAB Faculty Data Form or FDF. This document must be completed and routed simultaneously with the ACT document. A Faculty Data Form must be completed for each faculty appointment change: when a hire is made, when a promotion occurs, when tenure status changes, when a secondary or center appointment is added, and when an administrative appointment is added.

What is the procedure/process for submitting faculty items to the Provost for approval?
Most faculty personnel and hiring actions require Provost Office approval. These items are routed in multiple ways, but Faculty Affairs is the gatekeeper or the intake source for ALL faculty personnel and hiring actions. Faculty Leaves (except FMLA/Medical Leave) and Appointment Change Requests are routed through Faculty Affairs. These items should not be routed directly to the Provost.

What is the process for establishing a retired faculty member as emeritus faculty?

How do I onboard a new full-time or part-time regular faculty member?
The UAB PeopleAdmin Faculty Onboarding System is used to onboard new full-time regular and part-time regular faculty (and visiting faculty who are hired through UAB PeopleAdmin).
The Guide for Faculty Onboarding details the faculty onboarding process. Most academic units conduct additional onboarding for new faculty hires that is specific to the college/school or UAB Libraries. Please see your Deans Office for additional faculty onboarding information.
