All local Birmingham-area hotels should be reserved using a UAB P-CARD for room charges and related lodging taxes of UAB guests, who are prospective employees (and their accompanying spouses, where UAB has invited the spouse at UAB's expense), prospective students, & non-compensated volunteers, guest speakers, or independent contractors. This procedure does not apply to individuals who are UAB employees.

The visitor should provide the hotel with a form of payment upon check-in for any incidentals such as room service, bar bills, restaurant charges, telephone calls, valet service, etc. To the extent that such costs might be legitimately covered by UAB, the visitor may file for reimbursement after the trip through the host department.

• The hotel may require a Credit Card Authorization (CCA) form. Please complete this form in its entirety and ONLY list the LAST 4 digits of your P-Card number. Once complete, email the form to pcardservices@uab.edu for signature. When you submit the form to the hotel, inform them to contact you via phone for the remaining digits of your P-Card.
• Under no circumstances should you ever transmit the full Purchasing Card (P-Card) number in a message or form electronically.
